The Wrong Answer to Potential Freight damage is “This Looks Fine.”

As we hit that time of year when everyone’s running on caffeine and determination, it’s a good moment to remind ourselves how to make sure shipments arrive in good shape. Freight claims can take 1-6 months to resolve, so make sure your shipping department sees this.

If you ever get a shipment from Air Flow that looks banged up, reach out to our Sales Coordinators, April or Chilekwa-ideally within 48  hours. They are the go-to pros for warranty and shipping issues, and they’ll help you get things sorted out.

Here’s how to navigate freight damage:

  1. Inspect the crate (or package or pallet) for visible and concealed damage. Check for missing items by comparing them to the packing list.
  2. Document ALL damages or missing items on BOL/Delivery receipt before signing. For the best chances of recovering the loss, receive the shipment as damaged and store it until the freight claim is processed.

DO NOT SIGN with vague terms like “POSSIBLE DAMAGE” OR “SUBJECT TO INSPECTION”.

 

  • If “receiving damaged” is not an option, reject the delivery.
  • Please take clear, color photos of damage from multiple vantage points.
  • Contact Air Flow sales coordinators immediately with the information below.
    • Copy of signed BOL/Delivery receipt with specific damage or missing items documented. Please do not sign the delivery receipt as “possible damage” or “subject to inspection”.
    • The photos you took documenting damage or missing items.

Sales Coordinators (for consistency) will file the freight claim and facilitate the rework/replacement of damaged products or missing items. If you run into an issue, contact our sales coordinators immediately, even if it means making the truck driver wait a minute or two.

The bottom line?

Take that extra minute to inspect and document damage. And if something doesn’t look right, loop in April and Chilekwa immediately.
